tep 1: Enable IMAP in Gmail
- Open Gmail in a browser.
- Click the gear icon (⚙) → See all settings.
- Go to the Forwarding and POP/IMAP tab.
- Under IMAP access, select Enable IMAP.
- Click Save Changes.
Step 2: Generate an App Password (For 2FA Accounts)
If your Gmail account has 2-Step Verification enabled, you must generate an App Password:
- Go to Google App Passwords.
- Select Mail as the app and Windows Computer as the device.
- Click Generate and copy the password (16-character key).
Step 3: Configure Outlook
- Open Outlook.
- Click File → Add Account.
- Select Manual setup or additional server types, then Next.
- Choose POP or IMAP, then Next.
- Enter the following details:
- Your Name: (Your Name)
- Email Address: (Your Gmail address)
- Account Type: IMAP
- Incoming mail server:
imap.gmail.com
- Outgoing mail server (SMTP):
smtp.gmail.com
- Username: (Your full Gmail address)
- Password: (Your Gmail password or App Password)
- Click More Settings → Go to the Outgoing Server tab:
- Check My outgoing server (SMTP) requires authentication.
- Select Use same settings as my incoming mail server.
- Go to the Advanced tab:
- Incoming server (IMAP):

- Click OK → Next → Finish.
Step 4: Test and Verify
- Click Send/Receive in Outlook to check if emails sync.
- If login issues occur, confirm that:
- IMAP is enabled in Gmail.
- The App Password is correct (if using 2FA).
- Ports & encryption settings are correctly entered.
